Cognitron Privacy Policy

Overview
Cognitron is an iPhone app from Peds AI. This Privacy Policy explains what information we collect, how we use it, when it is shared, and what choices you have.
We collect only the information needed to provide the app's core features. We do not sell your personal information, and we do not use your information for advertising or cross-app tracking.
Information We Collect
1. Sign in and account information
If you choose `Continue with Apple`, Apple may share your name and email address with us so we can create your account.
If you choose `Stealth Mode`, we create a limited anonymous account instead.
2. Profile information
When you create or update a profile, we may collect:
- first name
- last name
- email address
- PIN
- optional phone number
We use this information to create your account, let you sign in, unlock survey features, and support account management.
If you choose to add a phone number, we use it only as optional backup contact information for tech support and account recovery alongside your email.
3. Trusted connections
Coworkers can connect in the app by creating and entering short-lived share codes.
The share code itself does not contain a phone number, email address, or other contact directory information.
4. Chat content
If you use chat features, we collect and store the messages you send and receive so the app can provide conversations and message history.
Some chat content may be sent through our backend to OpenAI to generate AI responses. We have a business associate agreement (BAA) in place with OpenAI, specifying that the data collected is kept secure and is not used to train future models.
5. Survey responses
If you complete surveys in the app, we collect and store your responses and related scores so the app can provide survey functionality and saved results.
The current version is not intended to collect directly identifying patient data such as date of birth, medical record number, insurance information, or similar clinical identifiers.
6. Internal account identifiers
We use internal account identifiers, such as your authentication ID, to keep your profile, chats, and surveys connected to the same account.
How We Use Information
We use collected information to:
- create and maintain your account
- authenticate users and reduce abuse
- provide chat, survey, and trusted-connection features
- remember your settings and profile
- secure the service and troubleshoot problems
- comply with legal obligations
We do not use your information for targeted advertising or data brokerage.
How Information Is Shared
We share information only as needed to run the service.
Examples include:
- Google Firebase and Google Cloud, which support authentication, database, storage, and related infrastructure
- OpenAI, through our secured backend proxy, to help generate AI responses for chat features
We may also disclose information if required by law, legal process, or to protect the safety, security, or integrity of the service.
We do not sell personal information to third parties.
Retention
We keep account and profile information for as long as your account is active, unless we need to keep limited information for security, fraud prevention, legal compliance, or service integrity.
Chat messages and survey responses may remain stored while your account is active so the app can provide history and saved results.
When you delete your account, we delete your profile record and sign-in account. At this stage of the product, some chat or survey records may remain in de-identified or internally referenced form while broader deletion tooling continues to improve.
Your Choices
You can:
- use `Stealth Mode` instead of creating a durable Apple-based account
- revoke Contacts access in iOS Settings
- update your profile information in the app's Settings screen
- remove your optional phone number from your profile
- delete your account from the app's Settings screen

Security
We use reasonable administrative, technical, and organizational measures to protect information handled by the app. No method of transmission or storage is completely secure, but we work to protect the information we hold. We have a BAA with Google Cloud, and OpenAI to promote security.
Children's and Health Context
The current build is not intended to collect directly identifying patient data. If the app later expands into features that collect identifiable medical or health records, we will update this policy and any required in-app disclosures before those features are used.
Changes to This Policy
We may update this Privacy Policy from time to time. If we make a material change, we will update the policy posted for the app and may provide additional notice in the app or on our website.
